Grants and Operations Manager

Blue Convergence Fund is a philanthropic fund based at Rockefeller Philanthropy Advisors with a mission to support and promote use-inspired research collaborations through grantmaking and strategic outreach that actively engages managers, policymakers and communities, informs deliberations and decisions on ocean and coastal policies and practices, and inspires equitable and actionable solutions to complex issues in marine conservation and sustainability.
Grants & Operations Manager Position Overview
The Grants & Operations Manager is a highly collaborative position that intersects with all staff across the organization. It will require strong organizational skills as well as experience writing documents for donors and Boards. The individual will be responsible for managing incoming donor agreements, reports and budgets, as well as outgoing grant documents and processes. They will assist the Executive Director with managing the Advisory Board and with basic financial processes. They will serve as a liaison between Blue Convergence Fund leadership, staff, grantees and RPA to promote and apply best practices for effective operations. The position reports to the Executive Director and will work remotely.

Responsibilities:
The Grants and Operations Manager is responsible for the administration and operations of Blue Convergence Fund. Specific responsibilities include:
Serve as the point person for outgoing grants in Fluxx grants management system including:
- Managing grant data in Fluxx grants management system.
- Maintaining key contact data for grantees in Fluxx grants management system.
- Working closely with Program Directors and Officers and grantees through all steps of the grant application process.
- Assisting with obtaining necessary legal and due diligence documents from prospective grantees for Rockefeller Philanthropy Advisors.
- Managing grants pipeline/workflow and help facilitate Rockefeller Philanthropy Advisors in drafting grant agreements and amendments.
- Maintaining payment planning timelines and monitoring/recording actual payments.
- Tracking reporting timelines and other key dates for outgoing grants.
Support management of Blue Convergence Fund incoming grants from individual donors and philanthropies including:
- Maintaining the pipeline list of donors, needed actions, and timelines in project management software.
- Assisting with writing and editing reports and proposals.
- Tracking deadlines for submitting narrative and financial reports to donors in project management software.
Support the Executive Director in managing the Advisory Board including:
- Compiling and distributing Board Meeting documents, quarterly or as needed.
- Supporting virtual meetings and logistics for in-person meetings.
- Supporting the Executive Director with Board meeting agenda development and communications.
Provide logistical support for outreach events including:
- Supporting virtual convenings.
- Planning events and organizing logistics for in-person meetings.
Conduct basic financial management tasks including:
- Processing contracts and payments.
- Reconciling Blue Convergence Fund and Rockefeller Philanthropy Advisors financial records.
- Assisting the Executive Director with budget coding and plannin
Requirements:
- Bachelor’s degree required
- Minimum of 3 years experience in grants management or philanthropy
- Experience with Monday.com or project management system strongly preferred
- Strong oral and written communications skills
- Ability to work independently in a remote office
- Experience and/or interest in a highly collaborative start-up environment
- Fluency with data, spreadsheet, online systems and information managementTravelOccasional domestic travel anticipated for team meetings and retreats.

Compensation:
This is a remote, full-time, exempt position based in the United States. The compensation range is $80,000 – $100,000 USD, commensurate with experience and accomplishments. The salary range is one component of the total compensation package for employees. We offer a generous benefits package including health coverage, retirement benefits, paid sick leave, vacation, and holidays.
